Unified Terms, Gym Rules, Waiver, Health Pledge, Lockers, Passes, Promotions and Events

Staffed Hours Mon to Fri 8am to 8pm | Sat to Sun 8am to 2pm. Gym access is 24/7 for adult members and approved 16 to 17s. Saunas and sunbeds operate during staffed hours only.

Effective date: These Terms apply to all memberships and services from 1 May 2022 onward. Please read them carefully before joining or using the gym. By completing registration, ticking any acceptance box, making any payment, purchasing any product or service, or accessing the gym, you agree to be bound by these Terms.

Vibes Gym ("Vibes", "we", "us", "our") is the trading name of Vibes Gym Ltd, company number 10505142, incorporated in England and Wales. "You" or "your" means the member, visitor, trial user, prepaid pass-holder, personal training client, sunbed user, guest, parent or guardian where applicable, or any person using our facilities, website, app, services or products.

These Terms and Conditions apply to all members, visitors, trial users, prepaid pass-holders, personal training clients, sunbed users, guests, juniors and parents or guardians connected to junior members at Vibes Gym. By joining, visiting, using our facilities, purchasing any product or service, or allowing a junior to use our facilities, you agree to the terms below.

By completing online registration, ticking the acceptance box, making payment, purchasing a pass, using the gym, using the sauna, using the sunbeds, or accessing the premises, you agree to comply with all terms herein.

1.1 Digital acceptance

When completing a membership application via ClubRight, our website, the Vibes app, the ClubRight app, online checkout, paper form or any digital form, you confirm you have read and agree to these Terms. Your digital acknowledgement, membership payment, product or pass purchase, or first access to the gym constitutes binding acceptance under the Electronic Communications Act 2000.

1.2 Activation and binding effect

A contract is formed when you complete registration, tick an acceptance box, make any payment, purchase a pass, purchase a service, or first access the gym using your fob, PIN, QR code or app, whichever occurs first.

1.3 Proof of agreement

ClubRight records, digital acceptance records, date and time logs, IP logs, payment records, access logs, app records, CCTV and email or message correspondence may be relied upon as evidence of consent, usage, access, rule breaches or account activity.

1.4 Communications and your account

Notices are sent electronically to the contact details you provide. Keep your profile up to date with a valid email address, phone number and payment method. Failure to receive, open, read or act on messages does not exempt you from your obligations.

1.5 Changes to terms and memberships

We may update, vary or discontinue membership types, pricing, features, access rules, services, products, opening arrangements or benefits to reflect operational needs. Where a change materially affects access or cost, we will provide reasonable notice by email, app notification, website update or in-gym notice where practical. Your continued membership, continued payment or continued use after such notice constitutes acceptance. The most current version is available at vibesgym.com/terms-and-conditions.

1.6 Photography, filming, media and CCTV

CCTV operates in designated areas for safety, security, monitoring, accident review, complaint review, access control and rule enforcement in line with UK law and our Privacy Policy.

By entering the gym, you acknowledge and consent that photography, filming and video recording may occur for safety monitoring, training, promotional, social media and marketing purposes. This may include members being identifiable in photos and videos used on our website, social media, printed materials, advertising and other promotional material. We may create and publish content ourselves or via photographers and videographers acting on our behalf.

We aim not to feature identifiable individuals prominently without consent where reasonably practical. However, Vibes Gym is a busy public gym environment and we cannot guarantee you will not appear in background footage, wider shots or general promotional content.

If you have a genuine safeguarding or personal safety concern, for example a restraining order, witness protection issue, serious domestic abuse concern or similar, you must inform staff before entering filmed areas and we will consider reasonable adjustments where practicable.

Members must not film or photograph other members or staff in a way that invades privacy, causes distress, captures changing areas, captures private conversations, or targets another person without permission. If someone asks you to stop filming them, you must stop immediately.

2.1 Monthly memberships and variations
  • We offer standard no-contract, off-peak, off-peak plus, concessions, blue light, student, local business, partner, employee benefit, junior, couples, promotional and other membership variations. All are bound by these Terms.
  • Monthly plans are rolling and payable in advance by card, Direct Debit or other accepted payment method each month.
  • No-contract means no long-term tie-in beyond your current paid month, unless your specific offer states a minimum period. Cancel any time before your next payment date via vibesgym.com/cancel.
  • Some discounted or promotional plans may include a minimum term, for example 1 full paid month, 3-month minimum, fixed-price periods or multi-month offers. Any minimum term is shown at purchase or in the offer wording.
  • Memberships, passes and services are personal to the purchaser and must not be shared, transferred, sold, lent or used by another person unless we expressly agree in writing.
  • Saunas are available during staffed hours only. Sunbeds are available during staffed hours only and are strictly 18 plus.
2.2 Payments, late fees, setup fees and card obligations
  • Payments must be kept up to date. Failure to pay may restrict access and incur charges.
  • We may apply an admin fee of £25 and a £10 late-payment fee for each missed payment.
  • Any joining fee, setup fee or admin fee is paid in advance and is non-refundable once charged, even if you later change or cancel your membership or fail to attend.
  • Removing your card, cancelling your Direct Debit or deleting payment details from ClubRight while any balance is owed does not cancel your membership. The balance becomes immediately due.
  • Raising a chargeback or payment dispute without contacting us first may result in suspension and recovery of reasonable costs.
  • We may refer unpaid balances to a debt-recovery agency or pursue recovery through appropriate legal channels. Reasonable recovery costs may be added to your balance.
  • Access may remain suspended until all overdue balances, admin fees, late fees and recovery costs are paid.
2.3 Setup and joining fees

Where a membership includes a setup or joining fee, it applies per membership purchase. Cancelling and rejoining, switching memberships, changing membership category, or attempting to rejoin under a different offer does not avoid any applicable setup fee shown at checkout. Setup fees are non-refundable once charged.

2.4 Membership availability, eligibility and proof
  • Corporate membership is subject to approval. To enquire, contact us.
  • Local business membership is available where shown and may require proof of local employment or business connection.
  • Concession, student, blue light, senior, employee-benefit, couples and other discounted memberships may require valid proof. We may request proof at signup or at any later point.
  • Couples memberships are only valid where both linked members meet the advertised eligibility requirements and remain on the relevant couples membership arrangement.
  • If valid proof is not provided when requested, or if eligibility no longer applies, we may move the membership to the standard applicable rate, suspend access or cancel the membership.
2.5 Products and pricing

Products and prices are listed at vibesgym.com/shop. Where collection is offered, items can be purchased online and collected from the gym during staffed hours. Product availability, pricing and collection options may change without notice.

2.6 Annual Gym Enhancement Fee

If you are a monthly-paying member, you agree to pay an annual Gym Enhancement Fee of £30 on 1 October each year, contributing to improvements, maintenance, upgrades and ongoing facility investment. The amount may be reviewed periodically and adjusted with reasonable notice.

2.7 Freezing membership

You may request a freeze for a minimum of 1 month and a maximum of 3 months by emailing hello@vibesgym.com. Freezing is at our discretion and incurs a £10 per month freeze fee. Access is suspended during the freeze and frozen time does not count toward any minimum term.

2.8 Cancellation
  • Cancellation requests must be submitted via vibesgym.com/cancel.
  • You must cancel before your next payment date if you do not want the next payment to be taken.
  • Failure to attend, non-usage, moving away, injury, illness, work commitments, deleting payment details, cancelling a bank mandate or messaging staff informally does not automatically cancel your membership.
  • If your payment has already been taken, cancellation applies to future payments and does not normally create a refund for the current paid period.
  • You may continue using the gym until the end of your paid period unless your membership is suspended or terminated for breach.
2.9 Prepaid membership passes
  • Typical options include 1 Day, 1 Week, 1 Month, 3 Months, 6 Months and 12 Months.
  • All passes are payable in full in advance. Access is for the purchased period only.
  • Passes are non-refundable, non-transferable and cannot be cancelled once purchased. They expire automatically at the end of the term.
  • Passes are subject to these Terms, including section 3 Fees, Charges and Enforcement, section 5 Gym Rules and Conduct, section 7 Member Health Pledge and section 9 Gym Waiver. Saunas operate during staffed hours only. Sunbeds are 18 plus only.
3.1 Rule-breach charges

Some rule breaches may result in additional charges where they create extra staff time, cleaning, administration, safety risk, CCTV review, damage, disruption or misuse of the facilities. These charges form part of these Terms and may be added to your account where applicable.

3.2 Re-racking fee
  • Re-racking fee: £20 per incident. This may be charged where plates, dumbbells, bars, attachments, kettlebells, handles, clips, collars, accessories or any other equipment are left out, left on machines, left on the floor, placed in the wrong area, put on the wrong rack, or not returned to their correct designated storage location after use.
  • All plates, bars, handles, attachments, accessories and gym equipment have a designated place and must be returned exactly where they belong. Leaving equipment nearby, on the wrong rack, on a random machine, loaded on a machine, or somewhere that looks close enough is still classed as failing to re-rack properly.
  • If you load a machine, bench, bar, rack, plate-loaded machine or cable station, you are responsible for unloading it fully after use and returning every item to the correct storage peg, rack, stand or holder.
  • The £20 re-racking fee may be applied for each incident identified by staff or CCTV. Repeat offences may lead to suspension, cancellation of membership or permanent removal of access.
3.3 Trespass and unauthorised access fee
  • Trespass fee: £62.99 per incident. This may be charged to the unauthorised individual and/or the member whose access was used, shared or misused.
  • Tailgating, holding the door open for unauthorised entry, sharing fobs, sharing QR codes, sharing PINs or allowing someone else to use your membership is strictly prohibited.
  • Repeat breaches may result in permanent cancellation, access removal and possible civil action.
3.4 Damage, misuse and cleaning charges
  • You may be charged for damage caused by misuse, careless use, deliberate damage, failure to follow instructions, or failure to use equipment safely.
  • You may be charged reasonable cleaning, repair, replacement, call-out or administration costs where your actions cause damage, mess, contamination, disruption or additional work for staff or contractors.
  • This includes, but is not limited to, damage to machines, benches, upholstery, flooring, mirrors, doors, lockers, access equipment, changing rooms, toilets, saunas, sunbeds, accessories or fixtures.
3.5 Payment of added charges

Any charges added under these Terms become payable immediately. Access may be suspended until any outstanding membership balance, missed payment, late fee, admin fee, re-racking fee, trespass fee, damage charge, cleaning charge or other valid account balance is paid.

3.6 Enforcement evidence

Charges and enforcement action may be based on staff observation, member reports, access logs, CCTV, payment records, written complaints, photographs, videos or other available evidence. We may issue warnings, apply fees, suspend access, restrict access, cancel membership or permanently ban members for rule breaches, unsafe behaviour, access misuse or non-payment.

4.1 Access, safety and health
  • Vibes Gym operates 24/7. Outside staffed hours the gym is unstaffed and you train entirely at your own risk.
  • Access is via your personal fob, PIN or QR in the Vibes app or ClubRight app. Do not share your access or allow tailgating. Misuse may result in suspension or termination.
  • There is no on-site emergency alarm system. In an emergency you must call 999 and, if needed, leave the gym to get help. CCTV is in operation for security and monitoring.
  • By entering, you confirm you are in a suitable condition to exercise and accept the inherent risks. You have read and agree to section 7 Member Health Pledge and section 9 Gym Waiver, Assumption of Risk and Liability.
  • If you are unsure how to use any equipment, do not guess. Ask staff during staffed hours before using it.
  • Members must return all equipment to its correct designated place after use. A £20 re-racking fee per incident may be charged under section 3.2 where plates, dumbbells, bars, handles, attachments, kettlebells, clips, collars or accessories are left out, left on machines, left on the floor, or put back in the wrong place.
4.2 Non-member access and trespass fee

Only active, paying members with valid credentials may enter. Allowing or assisting another person to enter without authorisation is prohibited.

  • Trespass fee: £62.99 per incident, chargeable under section 3.3 to the unauthorised individual and/or the member whose access was used, shared or misused. This may be added to the account.
  • Repeat breaches may result in permanent cancellation, access removal and possible civil action.
  • Tailgating, holding the door open for unauthorised entry, sharing fobs, sharing QR codes, sharing PINs or allowing someone else to use your membership is strictly prohibited.
4.3 Saunas and sunbeds
  • Staffed hours only: saunas and sunbeds operate during staffed hours only.
  • Saunas: located inside separate male and female changing rooms. They are not unisex.
  • Sit on a towel, keep conversations respectful, do not shave, do not apply oils, do not bring glass into sauna areas and follow all sauna rules displayed.
  • Sunbeds: strictly 18 plus only. Photo ID may be required, especially on first visit.
  • Sunbeds are not gym memberships: you do not need to be a gym member to use our sunbeds. They are paid for separately and subject to the waiver and any sunbed rules in force.
  • Unlimited sunbed packages allow up to 9 or 12 minutes per day as stated. Additional minutes may be purchased at £1.50 per minute if approved.
  • Protective eyewear is required and all tanning use is subject to our sunbed waiver, age verification and staff authorisation rules.
4.4 Photography, filming and media

By entering the gym, you acknowledge and consent that photography, filming and video recording may occur for safety monitoring, training or promotional purposes. You must not film or photograph other members or staff without their consent. See section 1.6 and section 5 for more detail.

4.5 Termination

We may cancel or suspend any membership for breach of these Terms, failure to pay, misuse of facilities, unsafe behaviour, abusive behaviour, access misuse, damage to equipment, repeated rule breaches, or behaviour we consider detrimental to members, staff, the business or the gym environment. No refund is due for remaining time after termination for breach.

5.1 Access and entry
  • 24/7 access. Staffed hours Mon to Fri 8am to 8pm, Sat to Sun 8am to 2pm. Outside staffed hours you train at your own risk.
  • Access is via your personal fob, PIN or QR in the app. Do not share access or permit tailgating. Breach may mean immediate suspension or termination.
  • The gym is monitored by CCTV. There is no on-site emergency alarm system. In an emergency call 999 and, if needed, leave the gym to get help.
  • Under 18s may only train in line with section 6 Junior Members, Supervision and Under-18 Rules.
5.2 Respect and conduct
  • Show respect to staff and members. No rudeness, aggression, bullying, intimidation, harassment, discrimination or anti-social behaviour.
  • Be considerate with noise, language, filming and general behaviour.
  • No filming or photography of others without their consent. If someone asks you to stop filming them, you must stop immediately.
  • Do not occupy equipment while scrolling on your phone for extended periods when others are waiting. Staff may ask you to move on or share equipment. Repeated issues may lead to suspension or termination.
  • No illegal activity on-site. Offenders may be reported and permanently banned.
  • No smoking or vaping anywhere within the premises.
5.3 Hygiene and personal cleanliness
  • Maintain good personal hygiene, including clean clothing, deodorant and regular showering. Members with poor hygiene may be asked to leave until resolved.
  • Bring a towel where practical, lay it on benches or mats where practical, and wipe down equipment after use.
  • No spitting. No chewing gum anywhere inside the gym. Gum must go in bins, never on floors, equipment or in urinals.
  • No shaving in showers or sauna areas.
  • Do not apply oils, creams, tanning products, strong fragrances or anything else that marks, stains, damages or contaminates equipment.
5.4 Dress code and footwear
  • Wear appropriate, clean indoor-only trainers. No muddy footwear or work boots.
  • No jeans. No sliders, flip-flops, sandals, Crocs or open-toe footwear on the gym floor.
  • Barefoot training is only allowed if explicitly agreed in writing by management for a specific exercise or rehab purpose.
  • Clothing must be suitable, safe and appropriate for training in a shared gym environment.
5.5 Equipment, bags, re-racking and safety
  • Use equipment only as intended and make sure it is safe before use. If unsure, ask staff during staffed hours.
  • All plates, dumbbells, bars, attachments, kettlebells, handles, clips, collars, accessories and other equipment must be returned to their correct designated storage location immediately after use.
  • Re-racking fee: £20 per incident. This may be charged under section 3.2 where plates, dumbbells, bars, attachments, kettlebells, handles, clips, collars, accessories or any other equipment are left out, left on machines, left on the floor, placed in the wrong area, put on the wrong rack, or not returned to their proper storage location after use.
  • All plates, bars, handles, attachments, accessories and gym equipment have a designated place and must be put back exactly where they belong. Leaving kit nearby, putting it on the wrong rack, placing it on a random machine, leaving plates loaded on machines, or leaving equipment somewhere that looks close enough is still classed as failing to re-rack properly.
  • If you load a machine, bench, bar, rack, plate-loaded machine or cable station, you are responsible for unloading it fully after use and returning every item to the correct storage peg, rack, stand or holder.
  • The £20 re-racking fee may be applied for each incident identified by staff or CCTV. Repeat offences may lead to suspension, cancellation of membership or permanent removal of access.
  • Do not drop or throw weights unnecessarily. Use clips or collars where appropriate and always control the load.
  • No gym bags or coats on the gym floor. Store them in lockers or designated areas to keep walkways clear and reduce trip hazards.
  • Report damaged or faulty kit to staff at hello@vibesgym.com or via the app and stop using it immediately.
  • You may be charged under section 3.4 for damage caused by misuse, careless use, deliberate damage, failure to follow instructions, or failure to use equipment safely.
5.6 Lockers, changing rooms and belongings
  • Lockers are for day use only and must be emptied before you leave.
  • Items left overnight may have locks bolt-cut. Contents stored for 7 days then donated or destroyed. We accept no liability for loss or damage arising from removal or disposal.
  • Keep changing rooms tidy. Unattended items may be removed for safety and tidiness.
  • We are not responsible for loss, theft or damage to belongings at any time.
5.7 Children, babies and reception
  • Children under 11 may remain in reception only while a parent or guardian trains, provided there is no obstruction, disruption or safety issue.
  • Children must not enter the gym floor, training areas or changing rooms unless they are a junior member training under section 6.
  • Staff do not supervise children. Parents and guardians remain fully responsible for their children at all times.
5.8 Saunas and sunbeds
  • Saunas are located inside separate male and female changing rooms and operate during staffed hours only.
  • Only members aged 16 and 17 with parent or guardian consent may use saunas, during staffed hours, and must follow all sauna rules posted.
  • Under 16s are not permitted to use saunas.
  • Sunbeds are strictly 18 plus and staffed hours only. Under 18s are not permitted to use sunbeds, and acceptance of general membership terms by anyone under 18 does not grant permission to use them.
  • Sunbed access may be refused where valid photo ID cannot be produced on request, where safe-use guidance is not being followed, or where staff have any safety concerns.
  • Follow all tanning safety instructions, use protective eyewear and respect equipment time limits and staff directions at all times.
5.9 Non-members, guests and tailgating
  • Bringing non-members into the gym without authorisation is prohibited. A trespass fee of £62.99 per incident may be charged under section 3.3 to the unauthorised person and/or the member who enabled entry.
  • Misuse of 24/7 access, tailgating or allowing entry to unauthorised persons may result in permanent access removal and termination of membership.
  • Guest passes, free trials, complimentary passes or promotional visits must be authorised and logged correctly before use. They cannot be assumed, backdated or claimed after entry unless we agree.
5.10 Compliance, sanctions and enforcement
  • We may issue warnings, apply fees, suspend access, restrict access, cancel membership or permanently ban members for rule breaches, unsafe behaviour or non-payment.
  • During unstaffed hours you must act responsibly, maintain safety awareness and report hazards as soon as reasonably possible.
  • Repeated low-level issues may be treated as a serious breach when they show disregard for the gym, staff or other members.
  • Enforcement may be based on staff observation, member reports, access logs, CCTV, payment records, written complaints or other available evidence.
5.11 CCTV and safety monitoring
  • CCTV operates continuously throughout the premises for security and safety.
  • Recordings may be reviewed in the event of accidents, complaints, access misuse, damage, theft, trespass, rule breaches or safety concerns.
  • CCTV may also be used to support enforcement of gym rules, including re-racking, tailgating, access sharing and misuse of equipment.
6.1 Minimum age and consent

The minimum age for gym-floor access is 11. All 11 to 17 year olds require parental or guardian consent before the first session, including completion of our Junior Parent Consent form: vibesgym.com/junior-parent-consent. We may require photo ID for the junior and the parent or guardian.

6.2 Age bands and supervision
  • 11 to 13: must train with a parent, guardian, or named responsible adult who is an active paying Vibes Gym member. A 1-to-1 ratio applies. The responsible adult must remain with the junior for the full duration of the visit.
  • 14 to 15: may train independently in junior hours only once a full induction is completed and written parental or guardian consent is on file. Outside junior hours they may only be in the gym when training with a responsible adult who is an active paying Vibes Gym member, who scans in with their own fob and remains with them for the full visit.
  • 16 to 17: may train independently once induction and consent are completed. 24/7 access may be granted once paperwork and induction are complete. We may restrict access to staffed hours only or suspend access if consent or induction is missing, if rules are broken, or if we have safety concerns.
6.3 Junior hours and last scan times
  • Under 16, ages 11 to 15: junior hours only unless supervised by a responsible adult who is an active paying member as set out above.
  • Junior hours:
    Mon to Fri: 8am to 5.30pm with last junior scan-in at 4.30pm
    Sat to Sun: 10am to 2pm with last junior scan-in at 1pm
  • Outside junior hours, under 16s may only be in the gym when a responsible adult who is an active paying member has scanned in with their own fob and remains with them for the whole visit.
  • We may refuse entry, restrict access or suspend junior access if supervision, consent, induction or safety requirements are not met.
6.4 Saunas and sunbeds for juniors
  • Saunas: available during staffed hours only. Saunas are located in separate male and female changing rooms and are not unisex.
  • Under 16: saunas are not permitted.
  • 16 to 17: may use saunas during staffed hours only with parental or guardian consent.
  • Sunbeds: strictly 18 plus with photo ID required. Acceptance of general membership terms by a person under 18 does not grant permission to use sunbeds.
6.5 Parent and guardian responsibility

Parents and guardians remain responsible for ensuring junior members understand and follow these Terms, including section 3 Fees, Charges and Enforcement, section 5 Gym Rules and Conduct, section 7 Member Health Pledge and section 9 Gym Waiver. Where supervision is required, the responsible adult must remain present, attentive and responsible throughout the junior’s visit.

7.1 Summary

Our Member Health Pledge forms part of your membership agreement alongside these Terms, the Gym Rules and the Gym Waiver. The full pledge is set out at vibesgym.com/member-health-pledge.

7.2 Key points
  • You confirm your health information is true and up to date, and that you will let us know if there are changes that affect safe training.
  • If you have a condition, injury, are pregnant or post-partum, or take medication that could affect exercise, you will seek medical advice before training and follow that advice.
  • You will stop immediately and seek help if you feel unwell, dizzy, faint, in pain, unusually short of breath, light-headed, or if you experience chest pain, severe discomfort or symptoms that feel abnormal.
  • You will train within your limits, build up gradually and use equipment safely and as instructed. If unsure how to use kit, you will ask staff during staffed hours before using it.
  • You will maintain good hygiene, use a towel where practical, wipe down equipment, wear suitable clean clothing and follow our dress code.
  • You confirm that any health, PAR-Q or medical information you provide to Vibes Gym is true, complete and up to date to the best of your knowledge.
  • If you answer yes to any health-screening question, or if your health changes at any time, you must seek appropriate medical advice before exercising and must inform Vibes Gym of any relevant change that may affect your ability to exercise safely.
  • You accept that staff are not doctors and cannot provide medical clearance. Medical clearance remains your responsibility.

By using the gym, you confirm you have read and agree to the Member Health Pledge together with these Terms, the Gym Rules and the Gym Waiver.

  • Day use only: lockers must be emptied before you leave.
  • Overnight items: locks may be bolt-cut. Contents retained for 7 days then donated or destroyed. We accept no liability for loss or damage arising from removal or disposal.
  • Lost property: items found elsewhere are held for 7 days then donated or destroyed.
  • Do not leave valuables unattended. Use lockers responsibly and bring your own suitable lock where required.
  • We are not responsible for loss, theft or damage to personal belongings at any time.
9.1 Assumption of risk

You understand that exercise and the use of gym equipment, free weights, resistance machines, cardiovascular equipment, functional training equipment, changing rooms, saunas and sunbeds carry inherent risks, including strains, sprains, slips, trips, falls, impact injuries, overexertion, equipment misuse, equipment malfunction, burns, dehydration, fainting, skin irritation and other injury risks. You voluntarily accept all such risks except where caused by our negligence.

9.2 Health declaration

You confirm you are medically fit to exercise and will train within your limits. If you are pregnant or post-partum, injured, medicated, recovering from surgery, have a medical condition, have been advised not to exercise, or have any condition that could affect safe training, you have consulted a suitably qualified health professional before use and will follow their advice.

9.3 Unstaffed training

You understand that Vibes Gym operates 24/7 and that outside staffed hours the gym is unstaffed. You accept responsibility for training safely, using equipment properly, not exceeding your ability, and calling 999 in an emergency. There is no on-site emergency alarm system.

9.4 Liability and release

Nothing limits or excludes liability for death or personal injury caused by our negligence, or for fraud. Subject to that, and to the maximum extent permitted by law, Vibes Gym Ltd and its staff, contractors and representatives are not liable for: (a) losses arising from risks you have accepted; (b) loss of or damage to personal property; (c) indirect or consequential losses; or (d) injury or loss caused by your misuse of equipment, failure to follow rules, failure to seek medical advice, or unsafe conduct.

9.5 Indemnity

You agree to be responsible for, and indemnify Vibes Gym Ltd for, reasonable costs arising from (a) damage you cause by misuse, negligence or deliberate conduct; (b) third-party claims resulting from your breach of these Terms, the Gym Rules or unsafe conduct; or (c) unauthorised access caused or enabled by you. This does not apply where Vibes Gym Ltd is at fault.

9.6 Under 18s and consent

Where the member is under 18, this Waiver is accepted by a parent or guardian, who confirms responsibility for the young person’s behaviour, supervision where required, safe use of the gym, and adherence to these Terms, including section 5 Gym Rules and Conduct and section 6 Junior Members, Supervision and Under-18 Rules. 9.7 Sunbeds: UV exposure waiver and informed consent

Sunbeds are strictly restricted to persons aged 18 or over. Any person under the age of 18 is prohibited from using sunbeds at Vibes Gym. If a member under the age of 18 accepts these Terms during membership registration, the sunbed waiver and consent provisions do not apply to them and do not grant permission to use sunbeds.

Sunbed users may be required to present valid photographic identification to verify they are aged 18 or over. Providing false information about age may result in immediate suspension or termination of tanning privileges and membership.

Sunbeds operate during staffed hours only and may only be activated by Vibes Gym staff. Members must not attempt to operate or activate tanning equipment without staff authorisation.

Ultraviolet radiation from sunbeds is known to cause skin ageing, burns, eye injury and may increase the risk of skin cancer. By choosing to use a sunbed at Vibes Gym you acknowledge that UV exposure carries inherent health risks and that you voluntarily choose to proceed.

By using our sunbeds you confirm that you are aged 18 or over, understand the risks associated with UV exposure, have no medical condition that makes UV exposure unsafe, are not taking medication or treatment that increases sensitivity to UV light, and have not been advised by a medical professional to avoid UV exposure.

Certain medications and treatments may increase sensitivity to ultraviolet radiation, including some antibiotics, acne treatments, antihistamines and other photosensitising drugs. You confirm you are not currently taking medication that makes UV exposure unsafe.

You confirm you have considered your skin type and understand that individuals with very fair skin who burn easily or do not tan should avoid sunbed use. You agree to follow recommended exposure schedules appropriate to your skin type, not exceed the maximum session time permitted by the equipment, and not use sunbeds more than once within a 24-hour period.

Protective eyewear must be worn during every tanning session. Failure to wear approved protective eyewear may result in eye injury. Vibes Gym accepts no liability for eye damage resulting from failure to use appropriate eye protection except where required by law.

You acknowledge that redness, irritation or burns may occur if exposure schedules are exceeded or if your skin is sensitive to UV radiation. You accept responsibility for monitoring your skin response and adjusting session duration accordingly.

Certain lotions, oils, cosmetics, perfumes or skincare products may increase sensitivity to UV exposure or cause skin reactions. You accept responsibility for ensuring any products used are suitable for sunbed use and for carrying out any recommended patch testing before use.

Vibes Gym staff reserve the right to refuse or suspend sunbed access at any time where safety concerns arise, including suspected overexposure, skin reactions, intoxication, failure to follow safety instructions, or where age verification cannot be confirmed.

By purchasing tanning minutes, activating a tanning session, or using tanning equipment at Vibes Gym, you confirm that you are aged 18 or over and that you have read, understood and agree to this Sunbed UV Exposure Waiver and Informed Consent.

We offer fixed-duration prepaid passes such as 1 Day, 1 Week, 1 Month, 3 Months, 6 Months and 12 Months.

  • Passes are payable in full in advance. Access is for the purchased term only.
  • Passes are non-refundable, non-transferable and cannot be cancelled once purchased. They expire automatically at the end of the term.
  • Passes are subject to these Terms, including section 3 Fees, Charges and Enforcement, section 5 Gym Rules and Conduct, section 7 Member Health Pledge, section 8 Lockers and Personal Belongings and section 9 Gym Waiver.
  • Under 18s using passes must follow section 6 Junior Members, Supervision and Under-18 Rules, and parents or guardians should complete our Junior Parent Consent form before first use.
  • Saunas operate during staffed hours only. Sunbeds are 18 plus and staffed hours only.
  • Complimentary passes, trial passes and promotional passes must be redeemed, logged and approved properly before use. They cannot be transferred, sold or retrospectively claimed unless we agree.
  • Promotional offers are time-limited, subject to availability, and may be withdrawn or varied at any time.
  • Eligibility criteria will be stated at the point of offer.
  • Unless expressly stated otherwise, promotions cannot be combined with other discounts and are non-transferable and non-refundable.
  • Where a promotion involves a reduced first month, free period, discounted setup fee, no setup fee, fixed-price period or other limited benefit, your plan then continues at the standard prevailing rate unless cancelled in line with these Terms.
  • Some promotions may require a minimum commitment, such as payment of 1 full month before cancellation is permitted. This will be stated in the offer wording or at checkout.
  • We reserve the right to verify eligibility and to decline, remove or revoke a promotion in case of misuse, misrepresentation, duplicate use or breach of terms.

From time to time we host in-gym promotions, tutorials, workshops, charity events, member events, partner-led activities or promotional filming.

  • Advance registration may be required. First come, first served if spaces are limited.
  • Follow staff instructions, safety guidance and these Terms, including section 5 Gym Rules and Conduct.
  • Participation is subject to these Terms, section 7 Member Health Pledge and section 9 Gym Waiver.
  • We may photograph or film events for marketing. If you do not wish to appear in images, notify staff on the day and we will accommodate where reasonably practicable.
  • We reserve the right to refuse participation where there are safety concerns, capacity issues, rule breaches or inappropriate behaviour.

We reserve the right to amend or cancel events for operational reasons. Where we do, we will provide reasonable notice where practical.

These Terms are governed by the laws of England and Wales. Any disputes are subject to the exclusive jurisdiction of the English courts.
